SYLVAN SHORES APPEARANCE COMMITTEE

Our Purpose: The Sylvan Shores Appearance Committee (SSAC) has been formed as a subcommittee of the Sylvan Shores Board of Directors to work with the Developer on construction matters and help guide new Owners through the build process. In addition to clarifying construction guidelines, the SSAC will assist with building plan reviews for the community and provide the SSAC’s perspective on what the Developer may be expected to find acceptable. The SSAC was also created to monitor adherence to other guidelines specified in the Covenants, such as maintenance of premises (Section 8), and notify the Board accordingly.

Our Mission: To preserve the community attributes we value, as well as our properties’ fiscal values by guiding homeowners through construction and maintenance efforts and ensuring that the natural beauty of our environment is preserved.

 

Implementation: Members will review new homeowner plans, home additions, and general home and lot upkeep as a team and use majority vote on topics when needed. For new construction, additions, and general maintenance, the committee will follow and adhere to the “Construction Guidelines and Maintenance Standards” document.

 

Governance: In order to create a sense of consistency and continuation, the SSAC will operate under the following guidelines:

1. The committee will consist of members of the community in good standing that will commit to a 2-year or 3-year term and will act as a reporting sub-committee to the Board of Sylvan Shores and the Developer. Committee members will be rotated in such a way to retain a quorum of members who have at least 1 year of experience to ensure consistency. The committee will endeavor to proportionately represent year-round residents in its membership.

2. The committee will consist of an odd number of members of no less than 3 but no more than 5, including the Board Representative. This is to ensure a majority vote can be arrived at when required. The Board President will act as final vote if there is ever a tie.

3. Committee Positions: a. Chair – Appointed by the Board President b. Vice Chair – Selected by the Chair and will serve in all duties of the Chair in the Chair’s absence or as requested by the Chair. c. Secretary – Responsible for recording of the meeting and decisions made, and other duties requested by the Chair. d. Board Representative – Current member of the Board acting as the Board sponsor and responsible for presenting issues to the Sylvan Shores Board.

4. Voting: For any matter that cannot be agreed upon by the members, a committee member may request a vote by secret ballot to maintain anonymity.

5. Neighborhood Survey: The SSAC will walk the neighborhood at least once per year to assess issues that need to be addressed either by individual homeowners or the Maintenance Representative on the Board.
